What is the Institutional Guide?
The Institutional Guide is a second AI mode, separate from FE, that answers factual questions about your specific institution. It works by searching documents your institution has uploaded — handbooks, policies, programme guides, strategic plans — and generating answers grounded strictly in that content.
How it differs from FE
| FE (AI Coach) | Institutional Guide |
|---|
| Purpose | Reflective questioning | Factual answers |
| Knowledge source | Participant’s own experience | Uploaded institution documents |
| Response style | Questions, not answers | Direct answers with citations |
| Uses general knowledge | No | No |
The Institutional Guide will never use general knowledge or make up information. If the answer is not in the uploaded documents, it will say so clearly.
What you can ask
Participants can ask the Institutional Guide about:
- Institution policies and procedures
- Programme requirements and structure
- Cultural norms and expectations
- Staff roles and responsibilities
- Calendars, deadlines, and events
How responses are cited
Every answer includes a citation — the name of the source document the answer was drawn from. For example:
“According to the Employee Handbook…”
“The 2024–25 Programme Guide states…”
This transparency helps participants trust the answers and find the original source if they need more detail.
Accessing the guide
In the AI Assistant, tap the Guide tab in the top navigation. Type your question in plain language — no special formatting required.
For admins: uploading documents
See Institution Setup for instructions on uploading documents to power the Institutional Guide.
The more relevant and up-to-date the uploaded documents, the more useful the guide will be. We recommend uploading:
- Staff/employee handbook
- Programme or curriculum guide
- Institutional strategy or values documents
- Any policies participants frequently ask about
